1. Who we are

Neutron AI ("Neutron AI", "we", "us") provides two products: Neutron Support AI, an AI agent that learns a business's public website and answers its visitors, and Neutron Sales AI, which helps businesses find and contact other businesses that match their ideal-customer profile (together, the "Service"). This policy explains how we handle personal data when you visit our website, create an account, use the Service, or are a business contact researched through Sales AI.

2. Data we collect from customers

Account data

Name, work email, company name, a securely hashed password, your chosen plans and billing records.

Website content (Support AI)

When you add a website, we fetch and process its publicly available pages — text, product information and image addresses — to build your agent's knowledge base. Only add websites you own or are authorised to use.

Sales profile (Sales AI)

Your company description, offer, ideal-customer profile, sender name, signature and postal address, the email sequences you write, and the record of emails sent, replies, bounces and unsubscribes.

Usage data

Conversations held with your agent, feedback ratings, inquiries submitted through your agent, and usage metrics such as message, lead and email counts used to enforce plan allowances.

Contact form and technical data

The name, email, company and message you send us; IP address and basic request information, used for security, abuse prevention and rate limiting.

3. How we use data

  • To provide, operate and improve the Service.
  • To manage your account, plans, usage allowances and billing, and to send account emails (verification, password resets, notifications).
  • To respond to your messages and provide support.
  • To protect the Service, recipients and the public against fraud, spam, abuse and security threats.
  • To comply with legal obligations.

We do not sell personal data. We do not use your content, conversations or prospect data to train general-purpose AI models.

4. Data about your website visitors (Support AI)

When your agent talks to people and collects inquiries on your behalf, you are the controller of that data and we process it as your processor, only to provide the Service. You are responsible for informing your visitors and having a lawful basis for processing their data.

5. Business contacts researched by Sales AI

This section is for people whose business contact details may be found or used through Sales AI.

What we process and where it comes from

  • Company information published on a company's own website: name, website, what it does, products, location, size indications and public news such as expansion or hiring.
  • Business contact details published on that website: generic addresses (such as info@ or sales@), business email addresses and phone numbers, and links to public company profiles. We do not collect contact details from any other source.
  • Discovery data: company names and websites from OpenStreetMap (© OpenStreetMap contributors, ODbL), suggestions generated by our AI, and lists uploaded by our customers.
  • AI analysis: a short company summary, a fit score with a reason and a suggested opening line, generated from the information above.
  • Outreach records: if a customer emails you, the address used, the dates, whether you replied, bounced or unsubscribed.

Our research crawler identifies itself as NeutronAI-Prospector, obeys robots.txt and skips websites that use bot protection. For businesses in the EU, EEA, United Kingdom and Switzerland, Sales AI uses only generic company addresses for outreach, never personal ones.

Who decides and why

The Sales AI customer who runs a search and contacts you is the controller of that outreach and relies on its legitimate interest in business-to-business communication; its name and postal address appear in every email it sends. We act as its processor, and we are a controller for the platform-wide opt-out list and for keeping the Service secure and lawful.

Your choices

  • Unsubscribe from a single sender with the link in their email — it works in one click and is permanent.
  • Opt out of all Sales AI senders — for your address or your company domain — at neutronai.pro/opt-out. When you confirm, we block the address or domain for every customer and delete the business-contact details we hold for it.
  • Access, correction or deletion: contact us and we will help, or pass your request to the customer concerned.

We keep a minimal record of opted-out addresses and domains (the address or domain only) for as long as needed to make sure you are not contacted again.

6. Connected mailboxes (Sales AI)

When you connect a mailbox, we store its server settings and an app password encrypted with AES-256. We use them only to send the emails you schedule and to check whether people you contacted have replied — we search the inbox for messages from those addresses and do not read, copy or store the content of any other email. Disconnecting a mailbox deletes its credentials.

Connected social accounts (Social AI)

When you connect a social account, the network gives us an access token for the permissions you approve. We store it encrypted (AES-256) and use it only to publish the posts you schedule, to read comments and direct messages addressed to your connected accounts, and to send replies. We store the posts you create (including uploaded or AI-generated images), and the comments and messages we fetch — including the author's public name or handle — so you can answer them. We do not read other content on your accounts, and we never search for, follow, message or comment on other people's accounts.

People who comment on or message your accounts: you are the controller of that data; we process it on your behalf and delete fetched comments and messages after 12 months. Disconnecting an account deletes its token; you can also revoke Neutron AI's access in the network's settings.

7. Service providers

We use carefully selected providers to run the Service, who process data only on our instructions:

  • Cloudflare — hosting, database, storage, AI inference and network security.
  • Google Cloud (Agent Platform) — AI processing used to structure website content and analyse companies.
  • Social networks you connect (Meta/Facebook/Instagram, LinkedIn, Pinterest, Bluesky) — receive the posts and replies you send through Social AI and provide the comments and messages shown to you, under their own terms.
  • Stripe — payment processing, subscriptions and invoices. Card details go directly to Stripe; we never see or store full card numbers.
  • Resend — delivery of account, notification and opt-out confirmation emails (never Sales AI outreach, which is sent from customers' own mailboxes).
  • OpenStreetMap / Overpass API — public map data used to discover businesses; we send only the search area and business category.

These providers may process data in countries other than your own, under appropriate safeguards.

8. Retention

  • Account data: while your account is active.
  • Website knowledge: replaced at each re-learn; deleted when you remove the website or close your account.
  • Conversations and inquiries: until you delete them or close your account.
  • Sales AI company and contact data: automatically deleted 12 months after it was researched (unless it is in an active campaign), or earlier when the customer deletes it or the person opts out.
  • Social AI: posts and images until you delete them or close your account; fetched comments and messages for 12 months; access tokens until you disconnect the account.
  • Do-not-contact and opt-out entries: kept for as long as needed to honour them.
  • Billing records: as long as required by law.

9. Security

Data is encrypted in transit, passwords are stored as salted hashes, mailbox credentials are encrypted at rest, sessions use secure HTTP-only cookies, and each customer's data is isolated from others. No system is perfectly secure, but we work to protect your data with industry-standard measures.

10. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to processing (including for direct marketing, which we always honour), to restrict processing, and to complain to a supervisory authority. To exercise these rights, contact us or use the opt-out page.

11. Cookies

We use one essential cookie to keep you signed in. We do not use advertising or third-party tracking cookies, and Sales AI emails contain no tracking pixels.

12. Changes and contact

We may update this policy and will post the new version here with an updated date. For questions about privacy, contact us.
